Hail Repair Process and Architectural Review Form

The Clairemont HOA Architectural Design Guidelines require all external modifications to the home require submission and review by the ACC Committee. As promised, the Board and the ACC have come up with a solution with the hopes of making your home repairs process less stressful and easier to deal with.

Fast Track

Allows residents to quickly get approval for roof, gutter, siding, repairs that are matching in material and color. Streamlined process for residents, HOA, and Bumgardner Association Management

  1. Download and complete Hail Repair Verification Form.
    • This form will serve as your ARC approval request and no other form will be necessary.
  2. Submit completed form to Bumgardner at hail@clairemonthoa.com.
    • Both contractor and homeowner are required to sign and complete the form.
  3. A member of the ACC may spot check a roof for confirmation.

The Fast Track process can be utilized for pre-approved shingle manufacturers for specific models and specific colors. This includes the following list of pre-approved shingle materials:

Note: If your proposed shingles are not listed in the pre-approved list but you feel are comparable in color and a match, you or your contractor may submit the shingle manufacturer and color for pre-approval consideration to the ACC Committee. The ACC Committee will review the request and determine if the shingle should be added to the pre-approved list.

Why would I do this? Shingles that are not pre-approved are subject to the standard ARC process.

Standard ARC Process

Provides residents with a means to get approval for shingle materials not listed on the Hail Repair Verification Form. Standard process of submission, Bumgardner reviews for completeness, ACC Committee review and materials assessment, and approval/denial.

Shingles that are not pre-approved are subject to full ACC review and approval or denial before project can begin.

  1. Download and complete Hail Repair Verification Form.
    • This form will serve as your ARC approval request and no other form will be necessary.
    • Select “Other” under Materials – Roof Shingles and provide the necessary manufacturer, model, and color details.
  2. Submit completed form to Bumgardner via mail and/or at hail@clairemonthoa.com.
    • Both contractor and homeowner are required to sign and complete the form.
  3. Bumgardner will review the form for completeness. Incomplete applications may result in a delay.
  4. Homeowner or contractor will place a shingle sample on their existing roof for review by ACC Committee.
  5. ACC Committee will review the application, review shingle sample on the roof, and provide a determination of approval or denial of the application.
  6. Results of request will be sent to the homeowner, email if provided, otherwise postal mail.
    • For shingles that are not pre-approved, the “other’ category, ACC approval must be received before work can begin.
  7. ACC Committee will review the new roof in progress or completed for compliance with the application.

 

Falsification of information on the Hail Repair Verification Form in conjunction with the actual materials installed will result in the homeowner replacing roofing materials in accordance with their approved submission at the expense of the homeowner and potential HOA fines. The ACC Committee will be reviewing projects for completeness and compliance.

Signage Variance

As a result of the hail storm event on May 23, 2014 a variance will be granted for the Architectural Design Guidelines.  Subject: General Improvements, Landscape & Maintenance Guidelines. Section: Signs.  This variance allows, through July 19, 2014, the placement of one contractor sign specific to the repair of hail damage to the homeowner’s property.  This is in response to homeowner’s requests to reduce contractor solicitation and allow fellow homeowner’s to see who they are working with.
